Should we ask you to provide certain information by which you can be identified, then you can be assured that it will only be used in accordance with this privacy policy. The policy sets out how East Cheshire Outdoor Group uses and protects any information that you provide or that is collected from you whilst you visit our website. The policy will be updated from time to time by updating this page. You should check this page periodically to ensure that you are happy with any changes.

What we collect

In running and maintaining the website and other activities of East Cheshire Outdoor Group we may collect and process the following information:

Contractual Information

    • Information we collect for the purpose of the normal running of the group, subscriptions and BMC membership and insurance.

    • The lawful basis for processing this personal data is “Contract”. This is defined as data required to fulfil our contractual obligations to you; or because you have asked us to do something before entering into a contract such as provide a quote.

    • This data includes: name, address, email address, phone number, joining date, leaving date and date of birth if under 18. It also includes a record of your agreement to our participation statement.

    • The retention period for this data is 2 years from termination of your membership.

Record of consent

    • Information we collect for the purpose of recording whether you agree to the use of contact information to send information about future activities or other information which we think you may find interesting.

    • The lawful basis for processing this personal data is “Consent”. This is defined as being an unconditional clear affirmative action, freely given and with the right to be withdrawn at any time.

    • This data only includes your decision as to whether to provide consent or not.

    • We regard your consent as having a duration of 2 years from termination of your membership.

Emergency information

    • Information we collect for use in emergency situations or when dealing with emergency services.

    • The lawful basis for processing this personal data is “Legitimate Interest”. This is defined as using people’s data in ways they would reasonably expect and which have a minimal privacy impact.

    • This data includes: emergency contact name and emergency contact phone number.

    • The retention period for this data is 2 years from termination of your membership.

Accident Log

    • Information we collect at the request of the BMC and our insurers to record details of any potential Liability claims.

    • The lawful basis for processing this personal data is “Legitimate Interest”. This is defined as using people’s data in ways they would reasonably expect and which have a minimal privacy impact.

    • This data may include anything that is relevant to an incident that may give rise to a Liability claim.

    • The retention period for this data is as advised by the BMC or our insurers.

Google Analytics

    • We use Google Analytics to help us improve our website and our services to ensure they meet the needs of customers and visitors to our website.

    • Google may gather anonymized information about your use of the website including details of your visits, including pages viewed and the resources you access. This information includes traffic data, types of device and browser used, location and data and other communication data.

    • Please see the Google Analytics Addendum at the end of this document.

Photographs & Social media

    • East Cheshire Outdoor Group publishes photos taken during activities on their social media and occasionally on our website.

    • If you prefer not to be included in these photos please make this known to us.

    • Anyone can request a photo of themselves to be removed at any time by contacting East Cheshire Outdoor Group (see contact details at the bottom of this document).

    • East Cheshire Outdoor Group does not tag anyone in photographs but individuals can tag in accordance with their own privacy settings.

The above includes information that you provide when you communicate with us by any means.

What we do with the information we gather

We use the information we collect for the normal running of the group and in particular for the following reasons:

  • To provide information to you relating to the group’s activities in general and for the management of specific events.

  • To inform you of any changes to the website or services.

  • To ensure that the East Cheshire Outdoor Group have the details of the emergency contact information you provided. This information may be printed to ensure the information can be accessed if needed during an activity but if printed it will be either returned to you or destroyed after the activity.

  • Internal record keeping and processing as required by the BMC or our insurers.

  • The Accident Log will be made available to the BMC and/or our insurers as requested.

  • Photographs taken during activities may be used for promotional purposes or on our social media unless you have indicated that you do not agree with this. You can also request the removal of any photograph of you by contacting us.

  • We maintain a Google email group for communicating with all members of the group who wish to be included. This email group is also made available to all members for use in contacting the members of the group for group related activities. Whilst the committee clearly have no means of directly controlling how this is used by members, repeated misuse will be treated as a disciplinary matter under the groups constitution.

If you believe that any information we are holding on you may have changed or is incorrect or incomplete, please write to or email us as soon as possible. We will promptly correct any information found to be incorrect.

Storing Your Personal Data

In operating the East Cheshire Outdoor Group website and the activities of East Cheshire Outdoor Group data collected from you may be transferred to locations outside of the European Union for processing and storing, (for example, email services, online document storage or other information stored on servers outside of the European Union).

By providing your personal data, you agree to this transfer, storing or processing.

We are committed to ensuring that your information is secure. We do our utmost to ensure all reasonable steps are taken to make sure your data is treated and stored securely.

How we use cookies

This statistical data is anonymized and does not identify any personal details whatsoever.
